Instructions for Chairpersons and Speakers

A Speaker-ready Room will be available for all speakers during the whole conference, according to the following schedule:

Sunday, September 6: from 17:00 to 21:00.
Monday, September 7: from 08:00 to 22:00.
Tuesday, September 8: from 08:00 to 22:00.
Wednesday, September 9: from 08:00 to 19:00.
Thursday, September 10: 08:00 to 13:30.

The room will be equipped with computers and a technician will be available to help all speakers to review and upload their presentations. Technician support will only be available at the following times:

Sunday, September 6: from 17:00 to 20:00.
Monday to Wednesday, September 9: from 10:00 to 15:00.

Should you need some help from the technician with testing your presentation, downloads, videos, images or audio of your presentation, please do not hesitate to ask him. All speakers are strongly encouraged to test their presentation in the speaker-ready room.

Speakers are strongly encouraged to upload their presentations in the speaker-ready room before their session to save time and avoid technical problems.

Speakers who are bringing their own laptops must make sure that they bring all the necessary adaptors with them.

Each session will be presided over by a session chair whose task it is to ensure that all talks begin and end on time, and that sufficient time remains for discussion. Please take the following into account:

  • Speakers should introduce themselves to the session chair and connect their laptop to the switch.
  • As a rule of thumb, invited speakers are asked to use 25 minutes for their talk and 5 minutes for questions. Contributed speakers are asked to use 12 minutes for their talk and 3 minutes for questions.
  • When a speaker has problems, e.g., with their laptop, the lost time must be subtracted from their presentation time. Technical problems must not cause delays for later speakers.

We have six parallel session tracks, and the topics of the parallel sessions can never be orthogonal. Consequently, all chairpersons must keep their sessions strictly on time, so that people can move from one session to another.

Please take the following into account:

Before the presentation…

  • The session chair should confirm that all necessary equipment is present and working: microphone, pointer, etc.
  • The session chair of the upcoming part of the next session (the time up to the next break) is asked to be at the lecture room 10 minutes before the session starts.

During the presentation…

  • As a rule of thumb, invited speakers are asked to use 25 minutes for their talk and 5 minutes for questions. Contributed speakers are asked to use 12 minutes for their talk and 3 minutes for questions.
  • When a speaker has problems, e.g., with their laptop, the lost time must be subtracted from their presentation time. Technical problems must not cause delays for later speakers.

We ask that all chairpersons take this responsibility seriously, because the synchronization of parallel session tracks is critical for their success.
